Over the past few years I attended close to 50 events. I am in Marketing for a large IT firm, so networking, speaker series and tradeshows are as frequent as friend birthdays to me. Some events are paid, some are free, some are part day and some a full day.
Event organizers usually are hired to do these events or company employees or community volunteers are tasked with planning. Over the years I noticed a number of things that make some events particularly nice and some memorable in a negative way. In this article I will go over key areas to consider when organizing the event.
Food. Availability of at least some food is very important for any event that lasts for more than 2 hours. This especially applies for events that fall between hours of 6 and 10 pm. In fact if there was attendance fee charged for entry no food is unacceptable. Just recently I went to one of these and will never go there again.
Event organizers should recognize that people won't enjoy any of the speakers or networking if they are hungry. People take time to visit your event during dinner hours and should be treated accordingly. If you want to keep ticket price low and can't afford much food schedule your event between 4 and 6 and you may still get you good reviews.
Keynotes. Most of events nowadays rotate around who is a speaker. Event planners are trying to attract celebrities or known names in the field the event is about. While it's true that a big name speaker will guarantee a better turnout to your event, you should still be doing your research. Many of the famous people I saw were not as good as expected for $10K plus travel expenses fees. I would rather see a young successful entrepreneur who can teach us something new than overrated big name.
What I find unacceptable if a speaker leaves right after the speech. This leaves very bad impression making people, who actually paid for event or took their precious time to attend, feel low and unimportant. I think event organizers should take time to check for speaker reviews, watch their demo videos and make sure that speaker will stay for a few hours or the day to engage with audience.
Location. Given current market conditions you as event planner should have lots of options for a venue in your city. Just make sure you are considerate of people you are inviting and how majority of them will travel there. Anything like rooms in venues with paid parking, remote parking and no parking is a huge no-no. Most of venues on a 2nd line from down town have free parking.
Parking makes a huge difference for again, busy people who drive. You don't want them to spend any extra money on parking and any extra time looking for a spot. Especially if weather is not good, people who drive are not equipped to walk long distances and if they do, they will have an awful mood when entering your event.
